Hire - Terms & Conditions

Terms and conditions of hire.

The hall is available for hire by individuals, groups and clubs. It is also used for events organised by the hall committee for village events and activities.

It can be used for meetings, workshops, indoor sporting activities, dancing and many other activities.

The hirer's attention is drawn to the fire notice displayed on the hall noticeboard. They should ensure that all users are made aware of these notices and the actions to be taken in the case of a fire. No fire exits shall be obstructed at any time during the hire period.

The hirer shall read and take note of such conditions laid down by the fire authorities as to the number permitted to use the hall at any one time - standing/seated.

The hirers are responsible for informing guests and attendees of fire evacuation procedures.

The hirers are responsible for the hall during the entire hire period.

The hirers shall indemnify the St.Margaret South Elmham village hall management committee against any, and all damage to any property and persons resulting from the hirers use of the hall.

All cars parked in the car park are left at the owners risk throughout the entire hire period and if left in the car park overnight.

No alcohol is to be consumed on the premises by any person under the legal age. No alcohol is to be brought onto the premises without prior permission of the management committee.

There is a strict no smoking policy on site.

Private functions will be charged at the hourly rate, with an additional refundable damage control premium. (To be considered)

The hall cost is £8.00 per hour for those who live in the village. For those hirers living outside the village the rate is £10.00 per hour.

Hire cost to be paid before the event, unless other arrangements have been made. (For example clubs, associations who may pay as a lump sum).

Heating during the winter months is at present included in the hourly rate.

Your booking is not secured until the booking form is returned.

Payments should be made by BACS - details can be found on the booking form.

All hire times MUST include set up and clear away.

If the hire period is after 7 pm, a minimum charge of 2 hours will be applicable.

The hall is to be left as you found it in a clean and tidy condition. Tables should be wiped down. All breakages must be paid for. If it is necessary to carry out extra cleaning, a further charge will be made. Chairs to be stacked between the windows no more than 4 high, and not obscuring the fire exits. All food waste must be removed by the hirer and disposed of. We do not have a refuse collection, so please take rubbish home. (A small bin is provided in the kitchen, and can be used for a small amount) There is a recycling bin, but please only use for CLEAN recyclable materials. (No raffle tickets) We will provide washing up liquid, a cloth and cleaning spray and 2 x bin bags for the kitchen. Kitchen surfaces to be wiped down and left in a clean state. Kettles etc to be put away. The floor of the main hall should be swept, or hoovered. All doors and windows are to be closed, and lights and heaters switched off, when vacating the hall.
